Services / Workflow Management

Hand off the
repetitive work.

Automated Workflow Management takes the queue work off your team's desk — inbound inquiries, order processing, ticket routing, internal approvals. The system classifies, routes, drafts, and escalates in your stack, with a full audit trail on every action. Typical deployments cut handling time 62% and free a full headcount inside the first quarter, without adding tools your team has to learn.

A quieter operation, by design.

We don't sell you another dashboard. We take the repetitive flows your team runs by hand today and move them into systems that run themselves — with humans in the loop where it counts.

Where it plugs in

Any flow that moves the same shape of information from inbox to action. We've deployed against inbound sales inquiries, customer support tickets, order processing and fulfilment confirmations, supplier onboarding, internal approval chains (expense, procurement, time-off), and repetitive back-office ops like invoice matching and data reconciliation.

If your team is copy-pasting between two systems, routing messages by rule-of-thumb, or waiting on an approver to get back from lunch — that's where this goes.

What runs automatically

Classification of incoming items by intent, priority, and SLA. Routing to the right owner, team, or queue — with rules you can read and override. Response drafting in your brand voice, pre-filled from your knowledge base and past tickets. Escalation logic when confidence drops below threshold or timers elapse.

Everything writes a full audit trail: what came in, how it was classified, who touched it, what the model said, and where it went. Nothing disappears into a black box.

100% audit trail coverage, every action

From audit to production in 6 weeks.

Fixed scope, fixed timeline, weekly demos. You see working software at the end of every week.

Week 1 · Audit

We sit with your ops team, instrument the current flow, and measure real handling time. You leave week one with a shortlist of automations ranked by payback.

Week 2 · Design

Process diagrams, integration map, routing logic, escalation thresholds, and UX for the human-in-the-loop. Signed off before a line of production code is written.

Weeks 3–4 · Build

Integrations against your stack, models tuned on your historical tickets, rules engine wired, audit logging on every action. Staging demo at the end of each week.

Weeks 5–6 · Launch & tune

Shadow mode first, then gradual cutover behind a kill switch. We stay on the tools for two weeks of live tuning, then hand over with docs and a runbook.

Common questions

How long until we're live?

Six weeks from kickoff to production for a single flow, assuming your stack is reachable by API and we have access to historical data for training. Multi-flow rollouts stage behind the first one — add roughly two weeks per additional flow. We run shadow mode before any cutover, so day-one risk is near zero.

What systems do you integrate with?

The common ones out of the box: Salesforce, HubSpot, Zendesk, Intercom, Freshdesk, Jira, ServiceNow, Slack, Microsoft Teams, Outlook, Gmail, Shopify, and the major ERPs. Anything else with a documented API — we build the connector as part of week three. No custom middleware you have to maintain.

What happens when the AI isn't confident?

Every action has a confidence threshold you set. Below it, the item is routed to a human with a draft answer and the model's reasoning attached — your agent edits and sends in one click. Over time, those corrections retrain the model, so confidence goes up and manual review goes down.

Who owns the models and data?

You do. Training data stays in your tenancy, models are deployed in a region you choose (EU by default), and nothing is used for any other customer. We're GDPR-compliant and ISO-27001 aligned, and we'll sign a DPA and NDA before kickoff if you want one.

How is pricing structured?

A fixed implementation fee for the six-week build, then a flat monthly platform fee tied to the volume tier you operate in. No per-seat charge, no per-action surprise. Most clients see payback inside two quarters — we share the payback math in the audit call so you can judge for yourself.

Ready to reclaim your team's time?

A 30-minute audit is enough to tell you which flow pays back first — and whether we're the right team to build it. No sales pitch, no slide deck.
